Ordering a custom steel stamp for the first time is straightforward when you understand what decisions need to be made and why each one matters. Most problems with custom stamp orders trace back to incomplete specifications β buyers who provided mark content and character size but didn’t specify material, or who assumed the supplier would know what shank dimensions their press required. A complete, accurate specification produces the right tooling the first time and eliminates the rework cycle that incomplete orders generate.
This guide walks through the complete specification process in the order you should work through it, explains what each decision means, and identifies the questions to ask when you’re not sure what to specify.
Step 1: Define Your Mark Content
Start with exactly what the stamp needs to produce on the workpiece. Write it out as it should appear in the finished impression β characters in the correct order, punctuation included, line breaks indicated if the mark is multi-line. If the mark includes a logo or graphic element alongside text, note that a logo file will need to be provided separately.
Common mark content errors: transposed characters in part numbers, missing hyphens or spaces, ambiguous characters (letter O versus zero, letter I versus numeral one) that aren’t differentiated. Review the mark content against the drawing or document that defines it β not from memory.
If any element of the mark content will change between uses β a date code, serial number, or lot code β identify which elements are fixed and which are variable. Variable data requires either individual character stamps or an insert holder system rather than a fixed combination stamp.
Step 2: Determine Your Character Size
Character size is specified as character height β the vertical dimension of uppercase letters and numerals. The right character size satisfies the minimum legibility requirement for your application while fitting within the available marking area on your workpiece.
Start by checking whether your application has a minimum character size requirement. Regulatory standards in industries like firearms (1/16 inch minimum per ATF), automotive, and aerospace specify minimums that cannot be undercut. If no minimum is specified, choose a size that is comfortably readable without magnification β 1/8 inch is a practical starting point for most general industrial applications.
Then verify that the character size and total mark content fits in the available space on your workpiece. A 1/8-inch character height with six characters plus spaces requires roughly 1 inch of marking width. If your available marking area is 3/4 inch, either the character size or the mark content needs to adjust. Step 3: Specify Impression Depth
Impression depth β how deep the stamp characters project above the stamp face background β determines the maximum depth of impression achievable in the workpiece. The right depth depends on your regulatory requirements, your workpiece material, and the service environment the mark must survive.
If your application has a minimum depth specification β firearms marking requires .003 inches, various other standards specify their own minimums β specify stamp depth of cut that comfortably exceeds that minimum to provide production margin. Specifying exactly the minimum leaves no margin for variation in technique or workpiece hardness.
If no depth specification applies, a standard depth of cut of .010 to .015 inches is appropriate for most general industrial marking on steel substrates. For soft materials like aluminum, copper, and plastic, shallower depth of cut is often sufficient. For hard substrates or harsh service environments where deep impressions are needed for long-term legibility, greater depth of cut may be required.
Step 4: Identify Your Workpiece Material
The material being marked determines the required stamp hardness. Stamps must be significantly harder than the workpiece to produce clean impressions without deforming themselves. Specifying your workpiece material allows the supplier to recommend an appropriate stamp steel and heat treatment.
Provide the specific alloy designation if you know it β not just “steel” or “aluminum,” but 1018 cold rolled steel, 6061-T6 aluminum, 316 stainless steel. The more specific you are, the more precisely the supplier can match stamp material to substrate. If you don’t know the alloy, describe what you do know β the approximate hardness, the surface condition, and what industry or application the workpiece is from.
Step 5: Define Shank Dimensions
The shank is the body of the stamp. For hand stamps, the shank diameter should be comfortable to grip and appropriate for the character size β larger characters are typically on larger shanks that can be struck effectively. For machine stamps, the shank must match the holder bore in the marking equipment β this is a critical dimension that must be correct for the stamp to fit.
If you are replacing an existing stamp that fits correctly in your holder, measure the shank diameter of the old stamp and specify the replacement to match. If you are ordering stamps for a specific press or fixture, get the holder bore dimension from the equipment documentation or by direct measurement before ordering. A stamp that doesn’t fit the holder is useless regardless of how well the marking face is specified.
Step 6: Choose Font Style
For most industrial applications, accept the supplier’s standard industrial block font unless your application requires a specific font. Standard fonts are proven for marking performance β consistent stroke widths stamp cleanly, and familiar character shapes read easily. Decorative or script fonts introduce manufacturing challenges and reduced legibility that rarely justify the aesthetic difference in an industrial marking context.
If you have a specific font requirement β matching an existing stamp set, meeting a customer specification, or reproducing a brand identity β specify it by name or provide a sample. If the required font has thin strokes or fine detail, ask the supplier to review it for marking performance before manufacturing begins. Step 7: Identify Special Requirements
Special requirements are anything not covered by the standard specification fields. Common special requirements include radius-ground face for curved workpieces (specify the workpiece outside diameter), extended shank length for restricted access marking, specific surface finish requirements, certification documentation for regulated applications, and custom handle or knurling preferences for ergonomics.
Document every special requirement explicitly. Verbal communication of special requirements is the most common source of misalignment between what a buyer expects and what arrives. If it matters, it goes on the written specification.
Step 8: Review the Proof Before Approving
For any order with complexity β multi-line content, logo elements, special geometry, or critical compliance applications β request a proof drawing before manufacturing begins. Review the proof against your original source document, not just against the specification you submitted. Confirm mark content character by character. Verify dimensions match your workpiece requirements. Check that any special features are represented correctly.
Approving a proof that matches a specification containing an error produces wrong tooling β the proof review must go back to the original requirement, not just confirm that the supplier reproduced what you asked for.
